Subscription & Billing Policy
Plans, renewals, proration, taxes, invoicing, dunning and downgrades.
1. Plans
HookPilot offers Free, Pro, Agency and Enterprise tiers. Plan inclusions — number of seats, monthly Caption Studio generations, AI Music Video render minutes, active AI agents, departments unlocked, model-routing tier, memory size and API quota — are listed on the pricing page and in any signed order form. Where this policy and an Enterprise order form conflict, the order form controls.
2. Free Trials
If we offer a free trial, you may use the trial features for the stated period. We do not require a credit card to start a Pro trial. At the end of a trial, your workspace converts back to the Free plan unless you have added a payment method and chosen to subscribe.
3. Renewal
Paid plans renew automatically at the end of each billing cycle (monthly or annual, as chosen) for the same plan at the then-current price for that plan, unless you cancel before renewal. We charge the saved payment method on the renewal date and email a receipt.
4. Upgrades and Downgrades
Upgrades take effect immediately and we prorate the remaining billing cycle. Downgrades take effect at the end of the current billing cycle — you keep the higher-tier features until then. Downgrades that fall below your active usage (for example, more seats than the lower tier allows) require you to remove the excess before the downgrade can save.
5. Usage and Overage
Some metered features (Caption Studio generations, AI Music Video render minutes, API calls, additional model-routing credits) have plan-included allowances. Overage is metered transparently in the dashboard. By default, overage above the plan allowance is blocked unless you have enabled "Allow overage billing", in which case it bills at the rate shown in the pricing page on your next invoice.
6. Taxes
Prices on the website are exclusive of sales tax, VAT, GST, and similar transaction taxes unless stated otherwise. HookPilot collects applicable tax based on your billing address and tax ID provided in checkout. Customers responsible for self-assessment (B2B reverse charge in some jurisdictions) must provide a valid VAT/GST number; we will then not charge the tax, but you remain liable for self-assessment under your local law.
7. Invoicing
Pro / Agency: charged on the saved payment method, with PDF receipts available in the customer portal. Enterprise: invoiced annually in advance unless otherwise agreed, net 30 days, via ACH, wire or card. You can update billing contact, billing email, tax ID and address from Workspace Settings → Billing or by emailing billing@hookpilot.co.
8. Failed Payments and Dunning
If a renewal payment fails, HookPilot retries on a Stripe Smart Retry schedule and emails the billing contact. After fifteen (15) days of failed retries, the workspace is downgraded to Free; access to paid-tier features is paused. Customer Content is not deleted because of a billing failure. You can restore the paid tier any time within ninety (90) days by updating the payment method.
9. Cancellation
You can cancel a paid plan at any time from Workspace Settings → Billing. Cancellation stops the next renewal; the current paid term continues through its end date. We do not pro-rate refunds for unused time on monthly plans. Refund rules for annual plans, Enterprise commitments and exceptional cases are in the Refund Policy.
10. Price Changes
If we change the price of a plan you are on, we give at least thirty (30) days' notice by email and in-product. The new price applies at your next renewal. You can downgrade or cancel before that date if you don't want to renew at the new price. Material price changes for active Enterprise terms require mutual written agreement.
11. Enterprise Terms
Enterprise customers sign an order form that may include: committed annual contract value, custom usage allowances, named sub-processor restrictions, SSO/SCIM requirements, the SLA in Service Level Terms, and a DPA. These terms supersede this policy where they conflict.
